Position Summary

Performs complex administrative support work, either as an individual contributor or in a supervisory capacity. Common to all positions at this level is the requirement for complete and thorough knowledge of policies, practices, and procedures in support of the operational area. May perform analytical work used in the decision-making process in an operational area.

Responsibilities

  • Process weekly payroll timely and effectively.
  • Knowledge of Account Payable procedures.
  • Assist in the completion of End of Month Closing for region:
  • Responsible for High Level Accounts Receivable for the region.
    • Follow up and maintain divisional AR past due status.
    • Research and solve payment discrepancies by obtaining and investigating information from sales, specific divisions, and other departments within the organization.
    • Provide additional administrative support to the region, such as client set up, credit profile, and Certificate of Insurance requests.
  • Review month end accruals and deferrals.
  • Track and review project costs and submit cost transfer requests when necessary.
  • Review intercompany service calls and submit revenue transfer requests when necessary.
  • Support controller and accounting team with various administrative functions.
  • Performs other related duties assigned by Manager.
  • Support GM, DSM’s & Controller with Acquisitions, Integrations & Training for new management & administration

Other work duties as assigned.

Requirements

KNOWLEDGE, SKILLS & ABILITIES:

  • Proficient in MS Office: Word, PowerPoint, Excel (Pivot and VLOOKUP’s)
  • Ability to maintain focus on multiple projects
  • Experience wit P&L Statements and P&L Analysis with knowledge of and understanding of accrual accounting
  • Excellent math skills with the ability to create and manipulate Excel spreadsheets
  • Experience in accounts receivable including invoicing and collections, interpreting contract billing language
  • Ability to self-direct to accomplish the work of the office
  • Strong interpersonal, communication, and team-oriented skills
  • Highly adaptable with the ability to work in a fast-paced office environment
  • Willingness and ability to work overtime when needed
  • Highly detail oriented with exceptional planning and organization skills
  • Strong problem analysis and problem resolution skills

EDUCATION:

  • Minimum 2 to 4 years of management and/or accounting experience
  • Associates degree or higher in Business or related field; desired but not required

Working Conditions

  • Office environment with limited physical effort, continuous mental effort, and frequent complex requests for assistance. 
  • Up to 25% of travel will be expected on a project-style basis to support the region
