Position Summary

This position is an entry-level position. The Office Admin I may responsible for duties including reception, data entry, meeting preparation and support, records keeping, payroll entry and review, travel arrangements, purchasing support, and fleet coordination.

Responsibilities

Reception

  • Providing receptionist support and ensuring that the public and visitors, wither through the telephone or as walk-ins are treated in a professional and courteous manner
  • Answering general questions and/or assisting callers and the public/visitors
  • Receiving and preparing courier packages, processing mail and payroll documentation ensuring correctness and timeliness
  • Ensuring office equipment (e.g.: fax machine and photocopier) are operating and arrange for repairs and ordering supplies
  • Maintaining all telephone lists and directions

Administrative Support

  • Photocopying or making arrangements for outside printing
  • Scheduling meetings and workshops; calling for agenda items and preparing meeting agendas, handouts; taking and typing meeting minutes, and, coordinating catering requirements
  • Arranges work-related travel for Acuren staff as required
  • Maintaining accurate records & scheduling maintenance related to fleet vehicles as needed
  • Entering purchasing information into eRequester as required

Records/File Management

  • Administering miscellaneous file systems
  • Archiving files/records appropriately

Employee Onboarding

  • Providing onboarding of new employees, including completion of payroll, union & training documentation and forwarding as necessary
  • Maintaining employee profile database, including NDT certifications, eye exams and other job related requirements
  • Reviewing completed security clearance packages

 

Other work duties as assigned.

Requirements

  • Extended periods of sitting at a desk while working on a computer.
  • Regular use of hands and fingers for typing, data entry, and other computer-related tasks.
  • Occasional lifting and carrying of files or documents.
  • Visual acuity for reading and analyzing numerical data on screens and documents.
  • Concentration and attention to detail for extended periods to ensure accuracy in billing and revenue calculations.
  • Occasional standing or walking for meetings or office tasks outside of desk work.
  • It is important for administrators to maintain good posture, take regular breaks, and practice ergonomic habits to prevent physical strain or injury associated with prolonged desk work.
